How to Manually Close a Sales Order

In CustomBooks™, managing sales orders efficiently is crucial for accurate financial tracking and maintaining an up-to-date inventory. While most sales orders will close automatically when fully fulfilled, there may be times when you need to manually close a sales order due to various circumstances, such as partial shipments, customer cancellations, or other reasons.
Steps to Manually Close a Sales Order
1.) Open the Sales order.
2.) Click on the Order Status (1).
3.) Click Close/Cancel (2).
When to Manually Close a Sales Order
- Partial Fulfillment: If part of the order is delivered (Partially Shipped & Partially Invoiced), but the customer agrees to cancel the rest, you may need to manually close the order to reflect this.
If the order is partially fulfilled but no further action is needed, you can adjust the fulfillment status to reflect the actual items delivered. This helps maintain accurate records. If the customer has agreed to cancel or partially fulfill the order, adjust quantities or mark specific items as not required.
- Customer Cancellation: In the event of an order cancellation, you should close (Cancel) the sales order to prevent it from appearing in pending orders.
- Data Corrections: Occasionally, orders may remain open due to system errors or incorrect fulfillment status. Manually closing the order helps maintain accurate records.
