Partial Shipment

Overview



Partial shipments allow you to fulfill an order in stages, delivering only part of the ordered items initially, with the remaining items shipped at a later date. This can be particularly useful in scenarios where:
  1. Certain items are temporarily out of stock.
  2. Customers request split shipments to align with their storage capacities.
  3. Shipping restrictions limit the quantity that can be sent in a single batch.
In CustomBooks™, you can easily manage partial shipments to keep track of each stage of the delivery process, while also ensuring accurate inventory and billing records.

What Is a Partial Shipment?



A partial shipment refers to the process of sending only part of an order to the customer. It can be beneficial for various business needs, such as handling large orders in smaller batches or fulfilling an order when only a portion of the required stock is available.

How to Set Up and Process Partial Shipments


1. From the Sales Order, choose Generate → Shipment. Ensure that the checkbox labeled Use Shipments is checked on the Sales Order.


2. In the line item, enter the quantity of the items you will ship.

When partially shipping an order with line item/s that you won't include on the shipment, all you need to do is delete the line item.

To delete a line item, right-click on the item row → Delete. Or select or highlight the line item/s that you want to exclude from the shipment → click More Actions → select Delete.

Once the shipment is saved, the sales order status will shows as "Partially Shipped" . The unshipped/remaining quantity of the items will show as backordered items on the Sales Order Line Details. It will also show the quantity of the items that have been shipped.


Completing the Partial Shipment


To complete shipping the backordered or the remaining items, just go to the Sales Order and generate another Shipment. The system will automatically populate the backordered items on the new Shipment. After completing the Shipment, the Sales Order status should show as "Shipped".

Error Message


Sometimes it's necessary to partially ship or exclude some items on the Shipment, however you may end up getting an error message "For Items, a quantity is required." This error message shows when posting a Shipment when the item quantity or Shipped field is blank or if it's "0".
