Projects / Time Tracking Module in CustomBooks™

Overview


The Projects / Time Tracking module in CustomBooks™ helps you organize project-related transactions, track time spent on tasks, and monitor project costs and profitability. Projects can be associated with transactions throughout the system, including quotes, orders, invoices, bills, payments, and receipts. Time Tracking allows users to record hours worked by task and associate those hours with a customer or project.

Together, Projects and Time Tracking provide a centralized way to track project activity, review expenses, monitor billable time, and analyze project financial performance.



Accessing Projects / Time Tracking


To access the available Projects / Time Tracking features:
  1. Select Project & Time from the left menu panel.
  2. Select the appropriate option from the available Documents, Lists, Reports, or Tools sections.

Documents
  1. Time Tracking
    The Time Tracking document allows you to record the amount of time spent working on specific tasks. Time entries can be associated with a customer or project and can be used to track billable hours and project-related work.

Lists
  1. Projects / Jobs
    The Projects / Jobs list allows you to create and manage projects or jobs and use them to group related transactions. A project or job can be assigned to transactions across CustomBooks™, making it easier to track activity and report on costs and financial results for a specific project.

Reports
  1. Time Tracking Detail
    The Time Tracking Detail report provides detailed information about recorded time entries. It can be used to review the time spent on tasks and analyze time associated with customers or projects.
  2. Project Financials
    The Project Financials report provides financial information associated with projects or jobs. It can help you review project-related income, expenses, and other financial activity to evaluate project performance.

Tools
  1. Project Profitability Matrix
    The Project Profitability Matrix provides a way to analyze project profitability by comparing project-related financial activity. It can help identify how projects are performing based on their associated income and costs.
  2. Extensions
    The Extensions option provides access to available CustomBooks™ extensions related to the Projects / Time Tracking functionality.

How Projects and Time Tracking Work Together


Projects and Time Tracking can be used together to provide a more complete view of project performance:
  1. Create a Project / Job to establish a group for tracking project-related activity.
  2. Assign the project to applicable transactions throughout CustomBooks™.
  3. Record time spent performing project tasks using Time Tracking.
  4. Review project activity and costs using the available reports.
  5. Analyze profitability using the Project Profitability Matrix.
By combining transaction tracking with time tracking, businesses can monitor the costs associated with projects and use the resulting information to evaluate expenses, revenue, and profitability.
